A client portal for an accounting firm has three jobs: get documents in, get engagement letters signed, get invoices paid. Agencies, consultants and freelancers need a smaller slice of that, and they are covered further down.

This list sorts tools by what the portal has to carry - full practice management, a generic client space, document storage, or file collection only - so you can match the tool to the job before you commit to a 14-day trial that auto-renews.

If you only need clients to send you files (not chat, sign, schedule, or pay), you don't need a $50/month suite. If you need invoicing and e-signatures and time tracking, no free tool will cover it. Picking the wrong category is how teams end up paying for software they barely use.

Client portal software for accountants: what decides it

For accounting firms choosing a client portal, feature lists look alike from a distance, and most of the tools below were built for them. Four questions separate them:

  1. How often does the client come back? A monthly bookkeeping client logs in twelve times a year, so the account, the password and the onboarding email pay for themselves. An individual tax client logs in once a year and has forgotten the password by next February. For that client the login is the friction - the trade-off is worked through in collecting tax documents from clients.
  2. What else must the portal carry? Engagement letters with e-signature, organizers, invoices and payments point to practice management (TaxDome, Canopy, Karbon). Documents only, kept in client folders for years, point to document management (SmartVault, SuiteFiles, ShareFile).
  3. Which ledger do you live in? SmartVault is the one that works with QuickBooks Desktop. SuiteFiles is built around Xero. Picking against your ledger means re-filing documents by hand.
  4. What does your security plan say? US tax and accounting firms fall under the FTC Safeguards Rule: a written information security program (IRS Publication 5708 is a sample plan), multi-factor authentication for anyone who logs in to systems holding client data, and encryption. A portal that becomes the firm's system of record has to meet that, so ask each vendor for MFA, audit logs and where data is stored before the trial ends.

Tip

Before the demos, count logins. Go through last year's client list and mark who sent you documents more than three times. If that is most of them, an account per client pays off; if most sent one batch at tax time, the login is the part they will struggle with.

Firm Start with Why
Solo preparer, mostly individual returns An upload link per client, files kept in your own storage Clients come once a year; an account per client is overhead for both sides
Bookkeeping firm, monthly close TaxDome or Liscio; Karbon if the chase runs through email Clients return every month, and requests, reminders and messages repeat
Multi-staff tax firm TaxDome or Canopy Workflow stages, e-sign and billing in one place; Canopy if IRS notices and transcripts are core
QuickBooks Desktop practice SmartVault The only one here that integrates with Desktop
Xero practice SuiteFiles Filing follows the Xero client list

Onboarding a new business client is a separate job from the yearly document chase: identity checks, engagement letter, delegated access, prior-accountant handover. Our accounting client onboarding checklist covers that order, and which parts a portal handles at all.

Practice management portals (full-suite)

These bundle a portal with workflow automation, e-sign, billing and CRM. They are built mostly for accountants, lawyers and other professional services, take real setup, and are paid only.

1. TaxDome

Built for accounting firms - tax return workflow, e-signature with KBA, secure messaging, time tracking, invoicing, plus the client portal layer. The portal supports document requests with checklists and reminder automation.

Strengths: end-to-end coverage. If your firm runs on TaxDome, you don't need a second tool for anything in the client lifecycle.

Catch: $800-1,200 per seat per year (about $67-100/month) on a 1-year contract, $700-1,100 with a 3-year commitment. Setup curve is steep - allow 10-20 hours to migrate templates, request types, and team workflows. Built for firms; overkill for a solo bookkeeper or non-accounting consultant.

Best for: accounting firms with 2+ team members and recurring tax/bookkeeping work.

2. Karbon

Email-centric practice management: triage emails, assign work, track client tasks. Has a client portal but it's lighter than TaxDome - more workflow tool, less document factory.

Strengths: strong email integration. Triage and team-collaboration on threads is what Karbon does best.

Catch: $59-89/month per user billed annually ($79-99 monthly). Client portal is the weaker layer - if your need is mostly portal-side (uploads, e-sign, payments), TaxDome is more polished.

Best for: accounting firms whose pain is email overload and team handoffs, not client document collection.

3. Canopy

Built for tax firms: workflow, document management, client portal, billing, transcripts integration. Strong on tax-resolution use cases (IRS notices, transcripts).

Strengths: the tax-resolution module, and document management with OCR.

Catch: $74-149/month per user billed annually, with Tax Resolution and tax workflow automation priced separately. Onboarding requires committing to Canopy's workflow philosophy.

Best for: tax-resolution firms and CPAs who want bundled transcripts and IRS tools.

4. Liscio

Communication-first: secure messaging replaces client email. The Liscio Platform plan includes client requests, organizers and e-signature.

Strengths: replaces client email back-and-forth with one secure thread per client.

Catch: $49/month per user billed annually for the full platform ($19 for file intelligence alone). Smaller feature surface than TaxDome - if you need full billing and time tracking, you'll add tools alongside it.

Best for: firms whose primary pain is messaging chaos.

Generic client portals (industry-agnostic)

For agencies, consultants, and non-accountants who want a client-facing space.

5. Clinked

White-label portals with branded mobile app, document collaboration, group chat, calendar. Used by financial services, law, real estate.

Strengths: strong white-label - your brand on the portal and the mobile app.

Catch: $239-479/month per workspace billed yearly ($299-599 monthly), not per user; an $8.80/user Start Up tier exists with 2 GB and no custom URL. The white-label mobile app is Enterprise-only, priced on request. Sticker price is high relative to functionality unless you actually need the white-label app.

Best for: firms selling to clients where a branded mobile app is a sales differentiator.

6. Onehub

A document-focused portal: workspaces, granular permissions, watermarking, audit logs.

Strengths: permissions and audit are clean. Good for due diligence and M&A intake.

Catch: $12.50-20/month per user billed annually ($15-25 monthly), with 3- and 5-user minimums; the Data Room Edition is $300/month. No free tier, only a 14-day trial. UI feels dated.

Best for: legal and finance teams with regulatory document requirements.

File-focused tools

For firms whose portal is mostly document storage and exchange.

7. SuiteFiles

Built for accountants and lawyers in Australia and New Zealand originally, now broader. Document management plus client portal, integrates with Xero and QuickBooks Online.

Strengths: the deepest Xero integration in this list.

Catch: priced per firm: from $210/month for up to 5 users, billed annually. Mostly relevant if you're in the Xero ecosystem.

Best for: Xero-first accounting practices.

8. ShareFile

Cloud storage, secure file sharing, e-sign and desktop sync. Enterprise-grade encryption, HIPAA-eligible plans available.

Strengths: mature security and compliance posture. HIPAA, SOC 2 and FINRA compliance options.

Catch: $16.50-35/month per user billed annually ($18.15-42 monthly), 3-user minimum. UI shows its age. Setup is heavier than the storage-only competitors.

Best for: firms with hard compliance requirements (HIPAA, financial services).

9. SmartVault

Cloud document management with a client portal, built for CPAs and integrates with QuickBooks Desktop and Online.

Strengths: QuickBooks Desktop integration is unique. PDF-from-anywhere print driver simplifies intake.

Catch: $65-85/month per user billed annually, 2-3 user minimum. Storage is unlimited, but e-sign is an add-on below the $85 tier.

Best for: firms running QuickBooks Desktop who want a portal that talks to it.

File-collection only (when a portal is overkill)

If you just need clients to send you documents - no chat, no signing, no payments - a full portal is overspending and over-configuring.

10. 500files.com

A temporary file-request page created in well under a minute. The client opens a link, sees a checklist, uploads files, you download a ZIP.

Strengths: - No account for you, no account for the client - File checklists ("Signed contract", "Invoices", "Bank statements") - Resumable chunked uploads for files over 5 MB (200 MB per file, up to 500 files per request) - Custom branding (logo, colors) - Password protection, expiry control, optional webhook - Free, no trial expiry

Catch: not a portal in the traditional sense. No persistent client login, no chat, no e-signing, no billing. Each request is its own page. If you need ongoing two-way messaging or signed documents, this isn't it.

Best for: solo professionals, freelancers, and small firms who only need the file-collection slice. One-off intakes (new client onboarding, project handoffs, document audits).

⚠️
Warning

An upload link is not the place for identity checks. Passports and driver's licenses belong in a KYC tool that checks them and keeps the evidence; an upload link only stores the scan.

Which one should you pick?

If you're an accounting/tax firm with recurring client work: TaxDome if you want one tool to cover everything, Karbon if email triage is your bottleneck, Canopy if tax-resolution is core, SuiteFiles if you live in Xero, SmartVault if QuickBooks Desktop is unavoidable. The firm-by-firm table is in the accountants section above.

If you're a non-accounting service business (agency, consultant, law firm): Clinked for branded portals, Onehub for compliance-heavy document rooms, ShareFile for HIPAA-regulated industries.

If you only need to receive files from clients - one-off onboarding, project intake, document audits - skip the portal category entirely. A dedicated file-collection tool like 500files.com gives you the upload link, checklist, and ZIP download in a minute without a $50/month subscription. For accountants specifically, the intake workflow is written up in collecting tax documents from clients.

If clients only ever send you files, start with a link, and buy a portal when they also need to sign or pay.
